Job Description Job Description We are looking for a meticulous and organized Accounts Payable Specialist to join our team in New York, New York. This long-term contract position offers an exciting opportunity to contribute to a dynamic hospitality-focused organization. The role will require onsite attendance during the first month for training and onboarding, followed by a hybrid schedule with three days onsite weekly. Responsibilities: • Process a high volume of vendor invoices quickly and accurately using QuickBooks Online. • Perform detailed three-way matching to ensure alignment between invoices, purchase orders, and receiving documents. • Accurately code invoices to the appropriate general ledger accounts. • Manage weekly check runs, Automated Clearing House (ACH) transfers, and wire payments. • Reconcile vendor statements and promptly address any discrepancies to maintain strong relationships. • Keep digital records of invoices and related documentation well-organized and up-to-date. • Assist with month-end closing activities, including preparing accounts payable accruals. • Respond to vendor inquiries in a thorough and timely manner to resolve issues efficiently. • Collaborate with internal teams to provide updates on payment statuses and address expense-related questions. • Ensure strict adherence to company policies and internal financial controls.• At least 5 years of experience in accounts payable; prior experience in the hospitality industry is a plus. • Proficiency in QuickBooks Online is required. • Solid understanding of fundamental accounting principles and practices. • Demonstrated ability to manage high volumes of invoices with exceptional attention to detail. • Strong organizational skills and the ability to meet deadlines in a fast-paced environment. • Excellent communication skills with a detail-oriented and courteous demeanor. • Advanced proficiency in Microsoft Excel, including familiarity with functions and formulas. • A proactive approach to problem-solving and the ability to work both independently and collaboratively.
