(OCEO) represents a core team that supports the CEO in his capacity
as Chief Executive Officer of a global, non-governmental agency
with more than 300 employees on four continents, relations with
government officials at the highest levels around the world, and an
annual budget of more than $90 million. Your Department The Office

million. Your Impact The Deputy Chief of Staff (DCS) provides
critical operational, administrative and data and analytic support
to the Chief Executive Officer. This role requires exceptional
organizational, communication, and interpersonal skills,
professional maturity, discretion, and a deep commitment to the
values and goals of AJC. The DCS serves as a trusted partner, with
the CEO, and the Chief of Staff to the CEO, ensuring the CEO’s time
is maximized, and strategic priorities are advanced. The DCS
together with the Chief of Staff to the CEO, serve as gatekeepers
to the CEO and will ensure that the department's operations run
smoothly and efficiently. Your Role • Support the execution of the
OCEO’s strategy, goals, objectives, and action plans • Serve as a
main point of contact for AJC colleagues and external stakeholders
to the OCEO & act as an overall gatekeeper for access to CEO,
exercising independent judgement on prioritization of incoming
requests • Organize, prioritize, and manage large volume of
incoming and outgoing communications (phone calls, email, and mail)
for the CEO: • Facilitate, under the COS’ direction, the internal
communications structure ensuring seamless information flow between
the CEO and • Senior leadership serve as the lead on CEO inbox
tracking, management and follow-up • Respond in a timely fashion to
inquiries and requests from internal and external stakeholders; and
prioritize responses and implement requests in alignment with OCEO
priorities, in consultation as needed with the Chief of Staff •
Oversee CEO scheduling and under the COS’ direction: • Create a
strategic and organized scheduling system for CEO meetings and
appointments and maintain CEO calendar – ensure appropriate prep
materials from other staff have been assigned, reviewed, returned
and inputted into calendar and/or other systems as applicable. • As
part of overall scheduling ensure tracking mechanism for repeated
events – weekly, monthly, annual and related in partnership with
appropriate teams (HR, Development, COS etc.) • Draft and send
meeting thank you notes or other follow-up correspondence, •
Arrange complex and detailed international and domestic travel
plans, itineraries, and agendas; proactively support the CEO and
Chief of Staff in preparing for such travel. • Organize and support
CEO security in partnership with Director of Security as part of
scheduling coordinating • Audit, organize, and streamline OCEO
existing fragmented data across multiple platforms, systems
(SharePoint, Teams groups, google drives etc.), spreadsheets,
emails etc., including but not limited to: • Organize and maintain
department documentation files; contacts and mailing lists •
Execution and other tracking/reporting projects as assigned for the
CEO and COS • Develop standardized data collection protocols and
quality assurance processes for data coming in and out of OCEO; •
On behalf of CEO engages with Razor’s Edge, CRM and other Agency
wide systems to extract and analyze data to create preliminary
reporting for CEO • Prepare initial drafts or summaries for CEO on
various topics for internal and/or external meetings • Attend
meetings on behalf of OCEO as assigned, take notes and report back
to Chief of Staff/CEO • Project manage and execute on the logistics
for assigned projects, events, and meetings • Organize, manage and
process CEO expense reports in compliance with AJC policy • Stand
in for COS, during periods of leave or as otherwise
needed/requested including accompanying the CEO on domestic or
international travel. Supervisory Role · Individual Contributor
Education, Training, and Experience • Bachelor's degree • Minimum
of 5 -7 years of experience and advanced job skills and knowledge
Knowledge, Skills, and Abilities • Passion for the mission, goals,

listening) • Strong organization and project management skills,
including the ability to set priorities and meet deadlines •
Excellent attention to detail and follow-through • Strong
Proficiency in Microsoft Office (Word, Excel, PowerPoint, Teams,
and Outlook), Google Suite applications, and Zoom • Physical
Demands • Office employees: • Remaining in a stationary position,
often sitting or standing for prolonged periods • Repeating motions
that may include the wrists, hands, and/or fingers • Communicating

position is $85,000 to $105,000 depending on relevant experience
